SeasonNest ("we", "us", or "our") provides a youth-sports coordination app for families, coaches, and team administrators. This Privacy Policy explains what information we collect, how we use it, and the choices you have. We wrote it in plain English. If anything is unclear, email support@seasonnest.org and we'll explain.
1. Who this policy is for
This policy applies to anyone using the SeasonNest mobile or web applications and our website at seasonnest.org. SeasonNest is intended for use by adults (parents, guardians, coaches, and team administrators). Children do not create accounts with us; only an adult parent or guardian does.
2. The information we collect
Information you give us when you create an account
- Email address. Used to sign you in and send essential account messages.
- Name and (optionally) phone number. Shown to your team so people know who they're talking to.
- Profile photo. Optional. If you upload one, it's shown only inside your team.
Information about your team
- Organization and team details. Name, logo, sport, season, and the list of teams you belong to.
- Roles and memberships. Who is a parent, coach, manager, or admin in which org and team.
Information parents provide about their children (athletes)
When a parent or guardian adds a child to SeasonNest, the parent provides the following on the child's behalf:
- First and last name
- Optional jersey number
- Optional date of birth (used to verify age divisions)
- Optional notes (e.g., emergency-contact info the parent chooses to record)
Children themselves do not create accounts, sign in, send messages, or receive marketing from us. All child data is entered, viewed, and controlled by the child's parent or guardian.
Information generated by using the app
- Events and RSVPs. Your replies to practices, games, and team events.
- Messages. Direct messages and team announcements you send or receive in the app.
- Tasks and volunteer signups. Items you've claimed (e.g., snack duty, scorekeeping).
- Payment activity. Records of dues, fees, or other payment requests posted by your admin and the status (paid, unpaid, waived) marked by your admin. SeasonNest does not process actual payment transactions.
- Notifications. System messages (RSVP reminders, announcements) we generate for you in-app.
- Diagnostic data. If the app crashes or hits an error, we may log the error message and basic technical context (app version, platform) to help us fix bugs.
3. How we use this information
We use the information we collect to:
- Operate the core app — show you your schedule, your kids, your messages, and your payment status.
- Authenticate you and keep your account secure.
- Send essential account messages (e.g., password resets, important policy updates).
- Diagnose and fix bugs and improve the product.
- Enforce our Terms of Service and prevent abuse.
We do not sell your personal information. We do not show you third-party advertising. We do not share your data with advertising networks or data brokers.
4. Children's privacy (COPPA)
SeasonNest is designed so that children under 13 do not directly use the service. Only parents, guardians, and other adults create accounts. When a parent or guardian voluntarily adds their child as an "athlete" inside their family, they are providing limited, sports-related information about that child for the purpose of organizing the child's participation in their team.
If you are a parent or guardian and want to review, correct, or delete the information you've provided about your child, you can:
- Edit or remove the child directly in the app (Settings → Your kids), or
- Email support@seasonnest.org and we will assist within a reasonable timeframe.
If we ever learn that a child under 13 has created an account directly with us without verifiable parental consent, we will delete that account.
5. How information is shared inside the app
SeasonNest is a team-coordination tool, so some of your information is visible to other people in your organization:
- Your name, profile photo, and role are visible to other members of the same organization.
- Your child's name, jersey number, and RSVPs are visible to coaches and admins of the team your child belongs to. Other parents see their own children only.
- Messages you send are visible to the people you send them to. Org-wide announcements are visible to all members of that organization.
- Payment status for requests assigned to you is visible to your organization's admins.
SeasonNest enforces these rules at the database level using row-level security policies, so even bugs in the app cannot accidentally show other parents your child's information.
6. Service providers we use
We rely on a small number of trusted vendors to run the service:
- Supabase — database, authentication, and file storage. Your data is stored in Supabase's infrastructure, which is hosted in the United States.
- Apple App Store and Google Play — to distribute our mobile apps. They have their own privacy practices.
- Email delivery providers (e.g., Resend) — used only to send you essential account messages and team invitations.
These providers act on our behalf and are bound by their own privacy and data-protection terms. We do not authorize them to use your information for their own purposes.
7. Data retention
We keep your information for as long as your account is active. When you delete your account (see below), we permanently remove your profile and personal data within 30 days. Some records that don't include your personal information may be retained for legal or accounting reasons (for example, an organization's payment-request history with your name removed).
8. Your rights and choices
Deleting your account
You can delete your account at any time directly in the app: Settings → Delete account. This permanently removes your profile, RSVPs, claimed tasks, payment history, and conversations, and removes you from every team and organization you belong to. The action is irreversible.
If you cannot access the app for any reason, email support@seasonnest.org from the email address on your account and we will delete it for you.
Accessing or correcting your data
You can view and edit your profile inside the app. To request a copy of your data or correct anything you can't change yourself, email support@seasonnest.org.
Communications
We only send you messages that are essential to your account or team activity. We do not send marketing emails.
9. Security
We use industry-standard practices to protect your information: TLS for all network traffic, encryption at rest, row-level security inside the database, and least-privilege access controls for our team. No system is perfectly secure, but we take this seriously and will notify affected users promptly if we become aware of a breach involving their personal information.
10. International users
SeasonNest is operated from the United States, and your data is stored on servers in the United States. If you use the app from outside the U.S., you are consenting to your information being transferred to and processed in the U.S.
11. Changes to this policy
If we make material changes to this policy, we will update the "Last updated" date at the top of this page and, where appropriate, notify you in the app. Your continued use of SeasonNest after a change means you accept the updated policy.
